Timesheet Management

With employees working in so many environments these days, the need to capture timesheets and what employees are spending their time on is of paramount importance.

Understanding and analysing this data can allow businesses to make significant changes or confirm business results with a clear correlation back to where time was spent or invested.

Time Management systems need to be designed to facilitate efficient and accurate timesheet capture, approval workflow and leave request management. Tools need to be flexible where there is a level of complexity to the way an organisation captures information, such as project costing, multiple lines of approval, complex payment calculation and labour costing.

A good system ensures security of an organisation’s data, including single sign-on capacity via Active Directory,

and a secure means of synchronising data between local applications such as payroll and any other hosted services.

When an employee completes their timesheet, the system needs to automatically and immediately monitor their data entry, responding with warnings if they make an error or enter something unexpected. The system must also display the units of payment the employee will receive for the work completed, cost centre or project it will be charged to, and the approvers required. This process ensures that timesheet data is captured accurately at the outset, and dramatically minimises the number of retrospective changes due to missing or incorrect timesheet data.

Timesheet management must be pro-active versus re-active so that it can improve the existing payroll process and provide the most accurate data possible.
